Billing & Subscriptions

Each location has its own plan. Your monthly bill is the sum of every active location on your business.

Plans are per location. You can mix them. For example, two Receptionist branches and one Manager branch on the same business.

#Setup fee

The setup fee is a one-time charge, paid during the intake form before onboarding can continue. This applies to paid onboarding and free-trial onboarding alike.

First location

Pays the setup fee for the plan you chose (50 KWD Receptionist, 80 KWD Manager).

Every location after

No new setup fee. Once a business has paid, adding more locations skips it.

#How monthly billing works

Monthly billing runs through Hesabe recurring subscription profiles. One profile per business, covering every active location together.

First checkout screen shows 0 KWD

Don’t worry, the subscription isn’t free. Hesabe always shows 0 KWD on the screen where you register the recurring profile. Your real monthly amount is stored behind it and charged on each billing cycle.

How the total is calculated

Example: a business with two active locations.

  • 1 Receptionist location = 100 KWD per month
  • 1 Manager location = 150 KWD per month
  • Total = 250 KWD per month

Your billing cycle follows the date you paid, not the first of the calendar month. Any change that shifts your monthly total (adding, switching, or cancelling a location) needs a refreshed Hesabe recurring setup before the new amount takes effect.

#Making changes

Add a location

New location is created right away, but stays inactive. A fresh Hesabe setup covers the new total. Aloo auto-activates it when the next billing cycle starts.

Switch plans

The current plan stays active to the end of the cycle. A fresh Hesabe setup for the new total opens. The switch applies at the next cycle.

Change card

Creates a new Hesabe profile. Your old card keeps paying until the new one is confirmed. Then Aloo cancels the old profile automatically.

#Renewing after 12 months

Hesabe recurring profiles max out at 12 monthly installments. Your subscription doesn't roll forever on its own. In the final month of the term:

  • A Renew Subscription button appears on your billing page.
  • The billing contact gets an email reminder.
  • You set up a fresh Hesabe recurring profile for the next term.

No new setup fee on renewal

Renewing just refreshes the recurring profile. The one-time setup fee is not charged again.

#Cancelling a location

Other locations stay active

Aloo opens a fresh Hesabe setup for the lower total. Once confirmed, the cancelled location is deactivated and its phone line is parked.

It was your last location

Business billing is cancelled entirely. Aloo cancels the Hesabe recurring profile.

After cancelling, also:

  • Stop forwarding your provider line to Aloo, or
  • Unplug the ministry-line device and let Aloo know for pickup.

#Failed payments

If a monthly charge doesn’t go through on time, Aloo first gives you a grace period. If the balance is still unpaid after that, the business is hard locked.

Payment dueGrace periodHard lockOne-time paymentRestored

During a hard lock:

  • Phone routing is parked.
  • Staff lose operational access to the dashboard.
  • The owner is sent to the billing recovery page.

Recovery is a one-time payment

Paying the overdue invoice restores everything, but it doesn't replace the recurring profile. If the failure was a bad card, also update the card (see Making changes > Change card).
