Signup & onboarding

Onboarding is a guided process, not a self-serve signup. Every new restaurant is paired with an Aloo specialist who opens a case, walks you through the intake form, and brings your first location live. This page shows what to expect at each step.

#The four phases

Onboarding happens in four phases. You provide information in phase 1, the Aloo team prepares your system in phase 2, you pay your subscription in phase 3, and phase 4 is when your phone line actually gets routed to Aloo.

#Phase 1: Intake

The assigned restaurant contact receives an email with a link to the intake form. You fill it out with your business details, location, initial menu, FAQs, voice and agent preferences, team emails, plan choice, and phone line setup. The one-time setup fee (50 KWD for Receptionist, 80 KWD for Manager) is paid at the end of the form before onboarding continues.

About the setup fee

The setup fee is a one-time charge for a new location. If you later add more locations, they don't pay setup again. See Billing > Setup fee for the full policy.

#Phase 2: Menu & readiness

By this point the Aloo team has already configured your menu based on your existing Deliveroo or Talabat listing, or from a menu you provided. Categories, items, prices, shared modifiers, and option values are all set up.

The assigned restaurant contact receives a review form by email. Go through every category and item, confirm names in both languages, prices, modifier groups, and option values. This is your chance to catch mistakes before the agent uses the menu on real calls.

You can also rank popular dishes on the form. It helps the AI give better answers when customers ask “what do you recommend?” or “what's your best seller?” from day one.

#Phase 3: Subscription & team

The assigned billing contact for the location receives an email with a link to set up recurring billing through Hesabe. Paying the first recurring invoice activates your subscription. Once it's confirmed, team invites are sent out automatically to every user you listed during intake.

    Open the email, complete the Hesabe setup, and pay your first recurring invoice. The first Hesabe checkout screen may show 0 KWD. That's the profile being registered. The actual monthly amount is stored behind it.

    Once billing is confirmed, Aloo automatically emails invites to every team member you listed during intake. They accept, set a password, and appear on your Team page.

#Phase 4: Call routing

The final step is routing your phone calls to Aloo. Without this, Aloo cannot answer your line no matter how much of the rest is set up.

  • Private line. Call your phone provider and ask them to forward your line to the number Aloo gives you.
  • Ministry line. The Aloo team schedules a technician to visit your location and install a device that routes calls to Aloo.

Important

Even if phase 3 is complete, your subscription is paid, and the billing cycle has started, Aloo will NOT receive calls on your behalf until you route your calls. Finish phase 4 before you expect any calls to come through.

#After go-live

Once your first location is live, you can handle almost everything yourself from the dashboard. The Aloo team is still reachable for things that need a person, typically billing, adding a new location, or a plan change that needs a fresh Hesabe setup.

#Free-trial onboarding

Free-trial onboarding follows the same four phases as a paid signup. The setup fee is still paid during intake. The trial applies to your recurring monthly fee, not the one-time setup.
